Position Objectives:

Smoky Lake County invites qualified candidates to apply for the full-time, permanent position of Legislative Services. Reporting directly to the Executive Assistant, the Legislative Services staff collaborates closely with the CAO and other administrative personnel to ensure the smooth operation of legislative functions and overall organizational support.

Position Summary: The Legislative Services plays a vital role in supporting the legislative process of Smoky Lake County by providing administrative and clerical assistance to the legislative and other department teams. This position is responsible for managing legislative documents, tracking legislative activities, liaison between governance and management ensuring that all records are maintained accurately and in accordance with established procedures. The ideal candidate will have strong organizational skills, attention to detail, and a solid understanding of municipal government processes.

Duties and Responsibilities:

  • Document Management: Prepare, format, and file legislative documents, including By-Laws, policies, amendments, reports, and committee meeting minutes. Ensure that all documentation is updated and accessible for reference by intended staff.
  • Administrative Support: Provide clerical support such as scheduling meetings, managing calendars, and coordinating communications between legislative members and external stakeholders, and Smoky Lake County staff.
  • Record Keeping: Maintain accurate records of legislative proceedings and assist in the archiving and retrieval of historical legislative documents.
  • Data Entry & Reporting: Input legislative data into databases, generate reports, and assist with the preparation of statistical and analytical summaries as required.
  • Liaison Activities: Act as a point of contact for internal and external inquiries regarding legislative procedures and document access, providing timely and professional responses.
  • Compliance: Ensure adherence to established legislative policies and procedures, as well as any relevant legal and current Municipal Government Act (MGA) requirements..
  • Additional duties and responsibilities may be assigned as required to support departmental and organizational objectives.

Minimum Requirements:

  • A high school diploma or equivalent is required; additional post-secondary education or relevant certification in administration or public administration is preferred.
  • Previous experience in a legislative, governmental, or public service environment is an asset.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with database management systems.
  • Excellent written and verbal communication skills, with strong attention to detail and organizational abilities.
  • Ability to work independently and collaboratively within a fast-paced environment.
